Users

From the Users tab, you can add new users to your organization, and invite users to participate in the sales planning process as administrators or contributors. There are three types of users in Varicent Sales Planning:

  • Administrator - has access to all features in the planning cycle. These users create and manage your organization's sales planning model.

  • Contributor - has access to some features in the planning cycle, depending on their role and contributor permissions. These users typically own a battle card, territory group type, or territory group. They participate in workflows and provide feedback and support to the administrator during sales planning.

  • None (regular user) - has no access to the planning cycle. These users are members of your organization or sales team. They are assigned to territories as sellers.

Adding users

You can add users to your organization directly through the Varicent Sales Planning user interface. These users can be active participants in Varicent Sales Planning as administrators or contributors, or they can be regular members of your sales team.

Note

User data is shared across all planning cycles in the tenant.

  1. On the Planning cycles home page, click the planning cycle to open.

  2. Click the Command center icon Screen_Shot_2021-10-04_at_5_40_21_PM.png.

  3. Under the Admin section, click User management.

  4. Click the Create user profile add--alt.png icon.

  5. Enter the user's information.

    Note

    The employee ID and email address must be unique.

  6. Select the user's role from the drop-down list:

    • Administrator - has access to all features in the planning cycle. These users create and manage your organization's sales planning model.

    • Contributor - has access to some features in the planning cycle, depending on their role and contributor permissions. These users typically own a battle card, territory group type, or territory group. They participate in workflows and provide feedback and support to the administrator during sales planning.

    • None (regular user) - has no access to the planning cycle. These users are members of your organization or sales team. They are assigned to territories as sellers.

    Note

    If you select Administrator or Contributor, we'll send an email to the user inviting them to access your Varicent Sales Planning organization. Contributors will only be able to access planning cycles where they own battle cards, territory group types, or territory groups.

  7. Click Create.

Importing user files

Your user files are shared across all planning cycles in the tenant. Once you've imported your users, you can assign owners to battle cards, territory groups, and territories. You can also invite users as admins or contributors.

Before you import your user data, make sure that you've completed the following tasks:

  1. On the Planning cycles home page, click the planning cycle to open.

  2. Click the Command center icon Screen_Shot_2021-10-04_at_5_40_21_PM.png.

  3. Under the Admin section, click User management.

  4. Click the Load users from file document--import.svg icon.

  5. Click Choose a file.

  6. Navigate to your pre-formatted CSV file, select it, and then click Open.

    A progress bar displays as your file loads. Your file will show as Pending for a minute or so and then change to Completed.

  7. Click Complete.

Deleting users

  1. On the Planning cycles home page, click the planning cycle to open.

  2. Click the Command center icon Screen_Shot_2021-10-04_at_5_40_21_PM.png.

  3. Under the Admin section, click User management.

  4. Click the Delete icon delete icon next to the user you want to delete.

  5. Click Remove on the confirmation dialog.

    Note

    If the user you are trying to delete is assigned as an owner to a territory or group, an error message displays.

Inviting users as administrators or contributors

Varicent Sales Planning administrators have the ability to invite other users to act as administrators or contributors.

  1. On the Planning cycles home page, click the planning cycle to open.

  2. Click the Command center icon Screen_Shot_2021-10-04_at_5_40_21_PM.png.

  3. Under the Admin section, click User management.

  4. In the row that contains the user you want to invite, in the Action column, click the Send invitation user--follow.png icon.

  5. Select one of the following roles:

    • Invite as admin - these users act as administrators for their organization. They can access the planning cycle at any time and make changes to it.

    • Invite as contributor - these users have limited access to the planning cycle depending on their role and the permissions set up for that role. They see a restricted contributor view based on their assigned battle cards, territory group types, or territory groups. They also participate in workflows for quota planning.

  6. On the confirmation dialog, click Invite.

Inviting users as administrators or contributors in bulk

You can invite users to participate in Varicent Sales Planning as administrators or contributors in bulk.

Note

Currently, you can invite a maximum of 100 users at one time.

  1. On the Planning cycles home page, click the planning cycle to open.

  2. Click the Command center icon Screen_Shot_2021-10-04_at_5_40_21_PM.png.

  3. Under the Admin section, click User management.

  4. Select the check box at the start of the row that contains the user you want to invite. You can select multiple.

    Note

    To send bulk invites, you must select users with the same role type.

  5. Click the invite users mail--all.svg icon at the top of the users table, and on the drop-down, select one of the following:

    • Invite as administrator - these users act as administrators for their organization. They can access the planning cycle at any time and make changes to it.

    • Invite as contributor - these users have limited access to the planning cycle depending on their role and the permissions set up for that role. They see a restricted contributor view based on their assigned battle cards, territory group types, or territory groups. They also participate in workflows for quota planning.

  6. On the confirmation dialog, click Send.

Revoking administrator or contributor access

Varicent Sales Planning administrators can revoke contributor or administrator access for other users. Administrator users will be bumped down to a contributor role, meaning that they will have limited access to their planning cycles. Contributor users will become regular users without any access to planning cycles.

  1. On the Planning cycles home page, click the planning cycle to open.

  2. Click the Command center icon Screen_Shot_2021-10-04_at_5_40_21_PM.png.

  3. Under the Admin section, click User management.

  4. In the row that contains the administrator or contributor whose access you want to revoke, in the Action column, click the Revoke access reset--alt.svg icon.

  5. On the confirmation dialog, click Revoke.
